Freshsales is a sales-focused CRM with capabilities around pipeline management. It can also extend into quotes and e-signatures through its documents add-on.

The difference becomes clearer when the commercial process continues into quote approvals and revisions, subscription management, invoicing, inventory and structured customer document collection.

Onpipeline extends into the operational processes that surround and follow the sale, with more of them managed directly inside the CRM.

With Freshsales, documents can move through defined stages, much like in Onpipeline. However, Onpipeline treats internal approval, rejection and revision as part of the quote lifecycle itself.

A manager can approve or reject a quote and leave feedback. If an approved or rejected quote is changed, a new revision is created while previous versions remain available, and the revised quote can be submitted for approval again.

Freshsales manages the lifecycle of the sales document. Onpipeline goes a step further by building the approval and revision process directly into the quote lifecycle.

E-signatures: complete in both, but Freshsales has an account limit

Freshsales provides a real remote e-signature workflow powered by Dropbox Sign, but no separate Dropbox Sign account is required.

However, e-signatures are not available with the free CPQ license, and Freshworks currently limits the feature to 50 signatures for the entire account.

Onpipeline includes remote e-signatures directly in Quote Management from the Standard plan, without listing a separate e-signature allowance. 

Freshsales adds signing through its paid document layer and applies an account-wide signature limit that may matter for teams with higher signing volumes.

Inventory Management: product catalog vs stock-aware quoting

Freshsales has a proper Products module. Products can have SKUs, product codes, pricing, categories, quantities on sales documents..

Its documented product functionality, however, focuses on catalog and pricing rather than maintaining actual inventory availability or stock movements.

Onpipeline Advanced connects inventory directly to the quotation process, so sales representatives can work with actual stock availability when preparing an offer.

Onpipeline can additionally track whether that product is actually in stock.

Portal: file uploads vs a managed document workflow

Freshsales can store files against contacts, accounts and deals like Onpipeline. It can also use web forms with file-upload fields, allowing prospects or customers to submit documents through a form. 

What it does not provide in Freshsales itself is the same structured document-request lifecycle as Onpipeline’s Customer Portal.

Onpipeline can create a specific request for a customer, assign instructions, a due date, reviewer and sample file, track what is still missing, let the reviewer approve or reject the submitted document with a reason, and allow the customer to submit a corrected file. Requests can also be triggered automatically.

Recurring revenue: subscription pricing vs subscription management

Freshsales allows products to use subscription pricing rather than only one-time pricing. Users can choose monthly, quarterly, half-yearly or yearly billing and specify the number of billing cycles. That pricing can then flow into deals and quotes.

But defining how a product is priced is different from managing the subscription created after the sale.

Onpipeline creates a subscription directly from the deal, with a recurring amount, start date, number of payments, interval and optional additional payments. Subscriptions can be modified or stopped later and, on Advanced, can automatically generate recurring invoices or drafts.

CRM with Invoicing: invoice visibility vs native invoicing

Freshsales integrates with accounting platforms including QuickBooks and Xero. These integrations bring invoice balances, payment status and invoice details into CRM records.

But both documented integrations are one-way. With Xero, Freshworks explicitly states that users cannot raise an invoice from Freshsales.

Onpipeline includes invoicing directly in the CRM. Users can create invoices and proformas, generate them from quotes, send them to customers, register payments and send payment reminders. Subscriptions can also automatically create recurring invoices, and Advanced supports Stripe payments.
